We are seeking a proactive, motivated, and detail-oriented Office Manager to oversee the daily administrative operations of our Dubuque office. The ideal candidate will possess strong organizational skills, great communication, proficiency in QuickBooks, Google Docs, Microsoft Office Suite and maintain a supportive & respectful relationship with the real estate team. Having a Real Estate license is preferred (but is not required) and having other experience in the real estate industry will be considered.

Key Responsibilities

  • Office Administration: Manage day-to-day office operations, including scheduling meetings & training sessions, correspondence, managing operations and processing deals.
  • Financial Management: Utilize QuickBooks to handle accounts payable/receivable, business expenses, real estate transactions, and financial reporting.
  • Agent Support: Assist agents with document preparation, MLS listings, and transaction coordination.
  • Compliance: Ensure adherence to real estate regulations and company policies.
  • Communication: Serve as the primary point of contact for the Realtor team, clients, vendors, and service providers. Coordinate inbound and outbound office email.
  • Technology Management: Oversee office equipment and software systems, ensuring they are up-to-date and functioning properly.

Qualifications

  • Experience: Minimum of 2 years in office management or administrative roles; real estate experience is preferred.
  • Technical Skills: Proficient in QuickBooks, Microsoft Office Suite, and familiarity with MLS systems.
  • Communication: Excellent verbal and written communication skills.
  • Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively.
  • Education: High school diploma or equivalent required; associate or bachelor's degree preferred.
