Job Description

We are seeking a dynamic and experienced Office Manager in Spokane, WA to join a local clinical research facility. In this role, you will be assisting a small, passionate clinic team by both revitalizing and creating new workflow processes to allow for long-term growth.

This is a contract work opportunity with flexible requirements. Full-time hours are not required.

Job Responsibilities:

  • Develop, document, and implement office systems, workflows, and onboarding procedures.
  • Serve as primary point of contact for facility logistics and vendor coordination (cleaning services, maintenance, furniture delivery, etc.).
  • Oversee office environment, including the layout and upkeep of waiting rooms, break areas, exam spaces, and administrative offices.
  • Manage general purchasing for office and clinical supplies, including ordering meals for patients and staff.
  • Coordinate travel arrangements for research participants and occasionally for staff.
  • Assist with event and morale planning (e.g., birthday celebrations, staff recognitions).
  • Track and manage shared equipment, key checkouts, and inventory logs.
  • Coordinate document and file organization, physical storage clean-outs, and recycling.
  • Support billing organization at end-of-month by compiling invoices, time logs, or clinical data summaries in collaboration with research staff.

To be a fit for this role:

  • Demonstrated ability to establish systems and organize multi-faceted workflows.
  • Knowledge of HIPAA and clinical setting expectations.
  • Excellent written and verbal communication skills.
  • Strong follow-through, reliability, and accountability.
  • Proficiency in Microsoft Office, scheduling platforms, and familiarity with EMR or clinical systems a plus.

Pay range is dependent on experience and is reflective of the range of candidate levels that will be considered for this opportunity.
