Waldron Designs is a full-service architecture and interior design studio based on Vashon Island, serving residential clients throughout the Pacific Northwest. Position Overview

We are seeking a detail-oriented and proactive Office Manager to join our team part-time. This role is essential to supporting our design operations and ensuring smooth project delivery for our clients throughout the Pacific Northwest.

Key Responsibilities

  • Manage project documentation and filing systems
  • Coordinate client communications and scheduling
  • Support project management workflows using Zoho Projects and Zoho Books
  • Handle invoicing, retainer tracking, and basic bookkeeping tasks
  • Assist with permit applications and regulatory submissions
  • Maintain vendor relationships and procurement records
  • Support marketing initiatives and social media coordination
  • Provide general administrative support to design team

Requirements

Required Qualifications

  • 2+ years of administrative experience, preferably in professional services
  • Proficiency in project management software (Zoho experience preferred)
  • Strong written and verbal communication skills
  • Excellent organizational abilities and attention to detail
  • Experience with basic bookkeeping and invoicing
  • Comfortable with technology and learning new software systems
  • Ability to work independently in a small team environment

Preferred Qualifications

  • Experience in architecture, design, or construction industry
  • Knowledge of permit processes and regulatory requirements
  • Familiarity with sustainable design practices
  • Social media and marketing support experience
  • Local Pacific Northwest knowledge

Benefits

Compensation & Work Arrangement

  • Position Type: Part-time, Remote (15 hours per week)
  • Schedule: Flexible hours within business days, with core availability during PST business hours
  • Salary: $22,500 - $35,000 annually ($1,875 - $2,917/month), depending on experience
  • Benefits: Paid sick leave per Washington State requirements
  • Work Setup: Fully remote with occasional virtual team meetings
  • Equipment: BYOD policy with technology stipend available
