Job Description

Duties:

*This is a 50/50 Administrative/Project role*

  • Organize & manage project schedules, including setting milestones and deadlines for team members to ensure that projects are completed on time.
  • Support the budgets management by tracking expenses and requesting additional funds if needed.
  • Manage vendors including vendor onboarding, creating/maintaining purchase orders, reconciling invoices and tracking of accruals planned vs. actuals.
  • Manage contracts and CDA’s/NDA’s.
  • Support Chief of Staff in the development of slide presentations, coordinate reports, dashboards and other tasks as identified by the Chief of Staff (COS).
  • Provide comprehensive administrative support to several executive team members, including calendar management, travel management, expense management, conference/congress support.
  • Provide corporate meeting support for on-site and offsite meetings and scientific/clinical engagements, including: contracts, logistics, catering, technology set-up, creating/advancing slides.
  • Coordinate candidate interviews, schedule new hire introduction meetings & assist with new hire onboarding.
  • Provide assistance with various department administrative needs.
  • Demonstrate the ability to work independently and/or collaboratively in a fast-paced environment.
  • Demonstrate expertise in effectively managing multiple priorities and/or work streams in a fast-paced environment.
  • Demonstrate and/or exhibit excellent interpersonal skills, strong organizational skills, and effective written and verbal communication skills across all levels within an organization.

Skills:

Proficient in Microsoft Word, Excel, Smartsheet , MS Project, MS PowerPoint and Outlook

Education:

Minimum of 3 years project coordinator or project management experience, administrative and operations experience.
