POSITION RESPONSIBILITIES
Healthpeak Properties is seeking an experienced real estate professional to join its Bay Area portfolio team. Success in this role requires strong organizational skills, attention to detail, a proactive mindset, and a focus on operational excellence. This position plays a key role in supporting the day-to-day portfolio operations by managing administrative tasks, coordinating cross-functional workflows, supporting tenant communications, and assisting with reporting for asset and property management teams.

The position will handle a broad range of functions in the leasing process and will have impact for the company’s ~6.2M square foot Lab/Science portfolio in the Bay Area. Job responsibilities include but are not limited to:
  • Enter, manage, and track data entry into Yardi and other platforms; support data accuracy across dashboards, reports, and document management systems
  • Collaborate with cross functional teams to draft primary notices and proposals using established Healthpeak legal forms and review with in-house legal counsel, property management and Leasing Directors, etc.
  • Procure and update all materials related to lease and property agreements, as well as recently completed projects (floor plans, signage plans, site plans, close out packages, etc.)
  • Track critical lease dates, rights (rights of first offer, expansion, termination, abatement), encumbrances, and post-execution obligations (e.g., security deposits and letters of credit)
  • Coordinate tenant communications including tenant kick off meetings, move-in/out processes with property management teams
  • Coordinate timely approval and processing of invoices and leasing commissions
  • Facilitate access of tenant tours and property inspections with PM team and building engineers
  • Maintain accurate stacking charts, floor plans, and CRM/tenant contact lists across the portfolio
  • Document management and organization including tracking NDA’s, photography waivers and other relevant property and tenant level documents
  • Participate in annual leasing budget input and strategic review sessions
  • Additional administrative duties, as needed
POSITION REQUIREMENTS
  • Bachelor’s degree from an accredited college or university
  • Minimum of 3-5 years of relevant real estate administrative experience (experience within the Lab/BioTech/Life Science industry a plus but not required)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, etc.)
  • Strong drafting and document preparation skills
  • Ability to multitask and prioritize responsibilities in a fast-paced, dynamic environment
  • Excellent interpersonal skills
  • Professional verbal and written communication skills
  • Demonstrated ability to work both independently and as part of a team
  • Highly detail-oriented and exceptional organizational skills
  • Ability to prioritize and manage multiple projects and tasks with limited oversight and training
  • Ability to travel (~10%) to Healthpeak real estate markets and industry conferences as needed
  • Valid driver’s license and vehicle
  • Competitive benefit package and pay rate commensurate with experience: $45.67 - $52.88/hour
